Add a People Picker to a PDP in Microsoft Project Online: Microsoft Project Online Training

If you are familiar with Project Web App you no doubt have used the Project Detail pages to either view or update the project attributes for any given project. Your Project, Resource and Task attributes are created as Custom Fields. Using a Custom Lookup Table enables a predefined list of values to be selected for any given Custom Fields.

When creating a custom field to contain people’s names, a Lookup Table is not always the best choice. People come and go. That means the Lookup Table would need to be maintain manually on a regular basis. Not a great way to maintain your powerful project management tool.

A dynamic People Picker control alleviates the necessity to manually maintain a Custom Lookup Table. Using a script, Content Editor Webpart, and some know-how, you can make it so the fields you create that require user lists are dynamically populated.

In addition, the People Picker solution may be used for several fields in your Project and Portfolio Management solution! Stakeholder, Project Lead, etc. all at once.

In this video I walk through the steps of implementing this solution as follows:

  • In Enterprise Custom Fields, Create a Project Custom Field named Project Lead
  • Update the script file to reference Project Lead
  • Upload the script to the Site Assets folder of the Project Web App Site Collection
  • Add Project Lead to a Project Detail Page (PDP)
  • Add the Content Editor webpart to the PDP from previous step
  • Edit the web part Content Editor and add the URL to the script file
  • Add Project Lead custom field to a Project Center view
  • Select a project and Edit the Project Lead field
  • Verify the field functions as a true People Picker field
  • View the updated Project Lead field in the Project Center view modified in a previous step

Microsoft Project

Even when located in different countries, you can work together as a team. This enables the entire project team to get more work done together.

Microsoft Project Online

Project Online is a flexible online solution for Project Portfolio Management (PPM) as well as work of varying types. Project Online provides powerful project and portfolio management capabilities to better help with the planning, selection and prioritizing, and managing of your projects and entire portfolio investments.

Microsoft PPM may be used to every member of the project team. From the project management office (PMO) to project managers, resource managers, team members, and many others. These different roles may be provided specifically the visibility and edit abilities required by their role.

Lastly, Project Online is built on top of the Collaborative SharePoint platform. And therefore stores all data in teh SharePoint Data Store.

Microsoft 365 project management is available through two subscriptions: Project Plan 3 and Project Plan 5. For more information on subscriptions that enable users for Microsoft PPM.

Team Member Functionality

Team member functionality for Office 365 MS Project Online is available through an Essentials or Project Plan 1 subscription. Project Online Essentials is a team member add-on subscription for customers who have Project Plan 3 or Project Plan 5 Project Online Essentials. Project Plan 1 subscriptions give team members a web interface to perform task and time updates to projects managed in Project Online.

This allows the interactive update cycle where team members reported actuals are automatically (via an approval process) integrated into the project schedule. Helping reduce the need for Project Managers to update Actual Work manually. Naturally, Project Managers still need to be able to update Remaining Work as tasks take longer or are finished quicker.

Team members with Project Online Essentials or Project Plan 1 subscriptions can perform the following Project Online functions:

  • Update tasks, issues, and risks
  • Submit timesheets
  • Use a web-based interface
  • Share documents and collaborate with Microsoft Teams or Skype for Business users

Power BI

Power BI is a business intelligent solution provided by Microsoft. Power BI is used for analyzing and visualizing data in order to make business decisions based on real-time, accurate information.

In February 2019, Gartner confirmed Microsoft as Leader in the “2019 Gartner Magic Quadrant for Analytics and Business Intelligence Platform” as a result of the capabilities of the Power BI platform.

Power BI is a software suite that helps you turn your data into coherent, visually immersive, and interactive insights. Your data sources can be anything from an Excel spreadsheet to a cloud-based data warehouse. Power BI makes it easy to connect to your data, visualize and discover what’s important, and share it with anyone you want.

Paginated reports in Power BI service are designed to be printed or shared. They can be shared in Power BI service or printed. They are called paginated because they are formatted to fit well on a page.

They often display all the data in a table, even if the table spans multiple pages. Power BI Report Builder is the standalone tool for authoring paginated reports.

With Power BI one can connect the Microsoft PPM OData to the Power BI desktop and make truly stunning reports and dashboard. The ability to have dynamics reports is with truly makes Power BI and outstanding product. Click on an area in a visual and the entire report will change to reflect the selected data element.

What this means is there there is no need necessarily to specify and/or change parameters. Any part of any visual may typically be used to filter a power bi report.

What’s more, Microsoft products Power BI reports may be exported to number formats. From pdf to PPT to Excel, the ability to export only makes report building and exporting more robust than ever.

Project Status reports and truly unique and visual in Power BI. Display select milestones, a Gantt chart, multi-line text fields and much more to make the process of generating a status report for your project of program truly robust. Forget manually filling in a Word document, with just a few clicks of a mouse and some updated and relevant data in Microsoft’s Project and Portfolio management solution status reports may be generated in no time at all.
